Set Workload

Set Workload requires Shift Times to be set up for your unit.

Set Workload lets you define how many staff you need for a unit and role on a given day. Instead of creating shifts manually, enter your headcount for day and night, and we’ll generate the right shifts based on your unit’s Shift Time configurations.

When to use Set Workload vs. manual shifts

  • Set Workload: Best for planning staffing at a high level using standard Shift Time configurations

  • Manual shifts: Better for one-off or custom scheduling needs

Because both affect the same day, mixing them can create conflicts. See below for how those are handled.

Setting Workload

  1. From the calendar, select a day and click Create Shift > Set Workload

  2. Choose a unit and role

  3. Enter headcount for day and night

  4. If manual shifts already exist, choose which to keep

    1. You’ll see a notice: “Applying this workload will cancel and replace X existing shifts.”

    2. Expand to review shift details, then select any to keep.

    3. Unselected shifts will be cancelled when you apply the workload.

  5. Click Continue to preview changes

    1. You’ll see the shifts that will be created or removed.

    2. We may generate partial shifts (shorter shifts that cover part of the block). These appear nested within the main shift card—click to expand and review.

  6. Review, then click Apply Workload. Shifts will update shortly after applying.

Clearing Workload

To remove workload for a day:

  1. From the calendar, select a day and click Create Shift > Set Workload

  2. Click Clear Workload

  3. Confirm

This removes all open shifts created from that workload.

If manual shifts already exist

If manual shifts exist for the selected unit and role, you’ll see them listed before applying workload. Choose which to keep—any unselected shifts will be cancelled.

If you create manual shifts on a day with workload

If a workload already exists for a unit and role, you’ll see a warning when creating a manual shift. You’ll need to clear the workload before continuing, which you can do directly from the warning.
